TERMS & CONDITIONS

 

Acacia Holidays receipt of deposit constitutes a traveler agreement.


Payment Schedule
• 50% deposit is required to confirm reservations
• balance is due 90 days prior to commencement of services

 

Cancellation Policy
Cancellations must be received in writing. Cancellation
fees will apply based on the date written cancellation is
received as follows:

• 90 days or more prior to commencement of services =$500 per person
• 89 to 60 days prior to commencement of services =20% of program cost
• 59 to 30 days prior to departure =50% of program cost
• 29 days or less prior to commencement of services =100% of program cost

 

Inclusions
The price of your services covers inclusions as per your
final, agreed-upon itinerary:
• accommodations (including taxes)
• meals (B=breakfast; L=lunch; D=dinner)
• transfers (on arrival, at departure and between
accommodations)
• sightseeing and game drives
• safari guide(s)/driver(s)
• flights between places visited on your itinerary
(scheduled or chartered, as noted)

 

Exclusions
The price of your services does NOT include:
• international flights to/from Africa
• travel documentation (passports and any required visas)
• costs of required or recommended inoculations and medications
• airport departure taxes
• excess baggage charges
• gratuities to safari guide(s)/driver(s)
• personal expenses (such as laundry)
• available activities that are offered on an optional basis (such as hot air ballooning)

 

Passports & Visas
A valid passport is required of each traveler. Although Acacia Holidays can provide information on visa requirements for the countries in your itinerary, it is the traveler’s responsibility to have all required documentation in his/her possession.

 

Health Information & Requirements
The Centers for Disease Control (CDC) is a recommended source of health information for traveler. Its web site can be visited at www.cdc.gov. Please consult your personal physician for specific advice on all health issues.
Although Acacia Holidays can provide information on health requirements and/or suggestions for the countries in your itinerary, it is the travelers’ responsibility to obtain and administer all medications and carry proof of required inoculations with him/her.

 

Baggage Allowance
Space is very limited on light aircraft and in safari vehicles, and baggage is restricted to soft-sided bags weighing a total of no more than 15 kg (33 lbs) per person. This includes camera equipment and carry-on baggage. If you know that your baggage will exceed the above limit, an extra seat can be booked for your bags at additional expense to you. This must be arranged no later than 60 days prior to departure. Should you arrive  on safari with baggage that exceeds the limit, your bags may need to be flown into camps on later flights at considerable additional expense to you.

 

Insurance
It is the traveler’s sole responsibility to carry comprehensive travel and medical insurance to cover the traveller, his/her dependent(s) and traveling companion(s) for the duration of the trip. Insurance should include (but not be limited to) coverage for trip cancellation or interruption; emergency evacuation expenses; medical expenses; repatriation of remains; and damage, theft or loss of personal baggage, money and goods. Acacia Holidays and
its representatives take no responsibility for any costs or losses incurred by the traveler, his/her dependent(s) or travelling companion(s) with regard to, but not limited to, the above eventualities. A traveler will be charged directly by the relevant service provider(s) for any required emergency services and may find himself/herself unable to access such services without proof of relevant insurance coverage.

 

Special Requests
If you have special requests (involving dietary restrictions or bedding preferences, for example), please advise at time of confirmation. Acacia Holidays will make every effort to accommodate your requests.

 

Activities
There may be activities in your itinerary that require a certain minimum level of fitness — including, but not limited to, navigating uneven terrain, bush walking and hiking. Please advise at time of confirmation if you have any health or mobility issues that may prevent your full participation in itinerary activities. On a safari, travelers are likely to be in close proximity to wild animals. In addition, not all camps are fenced. While passenger safety is a primary focus of all our safaris, neither Acacia Holidays nor its representatives can fully guarantee your safety and cannot be held responsible for injuries or incidents on safari.

 

Prices
Quoted prices are based on current rates of exchange, tariffs and taxes. Acacia Holidays reserves the right to increase prices to cover increased costs, tariff, and/or taxes and to reflect increases in foreign currency rates.

 

International Flights
Acacia Holidays or its representatives can offer quotations for international flights. Please ask about our special airfares. Airfares may be subject to service fees, cancellation penalties and/or surcharges. Airfares may change until full payment is received and ticket is issued. Airlines concerned are not to be held responsible for any act, omission or event during the time passengers are not on board their planes or conveyances. International air carriers are subject to international air conventions limiting their liability. Limitations of liability are contained on the reverse side of the airline ticket or e-ticket receipt, or on the carrier’s web site, and form part of the Terms and Conditions of travel. The passage contract in use by these companies, when issued, shall constitute the sole contract between the companies and the purchaser of these travel programs and/or passage.

 

Changes To Itinerary
Although every effort is made to adhere to schedules, please note that Acacia Holidays reserves the right, and is in fact obliged, to occasionally amend routes and camps on safari as dictated by changing conditions. Such conditions may be brought about by, but not limited to, seasonal rainfall on bush tracks, airfields or game areas; game migrations from one region to another; and/or airline schedule changes. Accommodations and arranged sightseeing are subject to change at any time because of unforeseen circumstances or circumstances beyond the control of Acacia Holidays or its representatives. Acacia Holidays reserves the right to withdraw or alter any services as deemed necessary and to pass on to the traveller any expenditures of losses caused by delays or events beyond its control. Acacia Holidays or its representatives are not responsible for additional costs resulting from delays to airline, train or other transportation schedules.

 

Force Majeure
Acacia Holidays is not responsible for any delay, injury, loss or damage for reasons of force majeure (events beyond its control, including, but not limited to, acts of God; acts of war or civil unrest; government actions; strikes; and criminal or terrorist activities). In these circumstances, Acacia Holidays will not be liable to pay any compensation or be otherwise
responsible for any expense or losses you might incur where we are forced as a result to cancel, delay, curtail or change your arrangements in any way or where the performance of our agreed-upon services is prevented or affected.

 

Travel Advisories & Warnings
It is the traveler’s responsibility to stay informed of the most current travel advisories and/or warnings that are in effect for the countries he/she is visiting. This information can be found on the U.S. Department of State’s website at travel.state.gov or by phone at 1-888-407-4747. If a traveler chooses to travel in the event of an active U.S. State Department travel warning against travel to the specific location(s) of his/her safari, the traveler assumes all risk of personal injury, death or property damage that may arise out of the events advised or warned against.

 

Claims & Refunds
Refunds are not made for any unused or missed services, except for verifiable extenuating circumstances. For verifiable claims to be considered, they must be submitted in writing within thirty (30) days of the end of travel services and be accompanied by supporting documentation. Any adjustment considered will be based on the actual price of the services involved.

 

Photography During Your Safari
Acacia Holidays in Africa reserves the right to photograph  or film during the operation of any safari and to use those images without payment or permission. If you prefer that your image not be used, please advise your guide at the beginning of your safari.

 

Traveler’s Representations
The traveler represents that neither he nor she nor anyone traveling with him or her has any physical or other condition or disability that could create a hazard to himself or herself or others. Acacia Holidays reserves the right to remove from the trip, at his or her sole expense, anyone whose condition could create such a hazard.

 

Limits On Responsibility
Acacia Holidays and its representatives do not own or operate any entity that is to provide or does provide goods or services for your trip. It purchases transportation (by aircraft, coach, train, vessel or otherwise), hotel and other lodging accommodations, restaurant, ground handling and other services from various independent suppliers. All such entities and persons are independent contractors. As a result, neither Acacia Holidays nor its representatives are liable for any negligent or willful act of any such person or entity or of any third person.
In addition and without limitation, Acacia Holidays and its representatives are not responsible for any injury, loss, death, inconvenience, delay or damage to personal
property in connection with the provision of any goods or services whether resulting from, but not limited to, acts of God or force majeure, illness, disease, acts of war, civil unrest, insurrection or revolt, animals, weather, strikes or other labor activities, criminal or terrorist activities of any kind, overbooking or downgrading of services, food poisoning, mechanical or other failure of aircraft or other means of transportation mechanism to arrive or depart
on time. There are inherent risks in adventure travel of the type involved here. These include, but are not limited to, risks of white water rafting, kayaking and canoeing (for example, dangers of rapidly moving water, rocks and other submerged objects, hypothermia, etc.), horseback riding (for example, unpredictable behavior by horses,
etc.), elephant-back safaris, hiking, walking safaris, quad biking (for example, equipment failure, etc.), and in all trips dangers of animals, inaccessibility to medical attention, and difficult evacuation from remote locations in the case of a medical emergency. Traveler assumes all such risks with regard to these possibilities.

 

Traveler’s Consent
PAYMENT OF DEPOSIT OR ANY OTHER PARTIAL PAYMENT CONSTITUTES THE TRAVELER’S ACCEPTANCE OF THE TERMS AND CONDITIONS SET OUT HEREIN.
